We're currently looking for a Junior Operations Specialist with a focus on Order Processing to join our Operations team. Someone with a passion for electric mobility, an interest in technology, and a desire to create the change we know is needed.
This position is located at Polestar Belgium in Brussels and is limited to two years. We believe in a hybrid model when it comes to remote and onsite work, knowing that both in-person collaboration and individual time to focus are needed. What matters most is that people get the time, and support, to do what needs to be done. And to enjoy doing it, of course.
Let us describe the challenge we offer
In this role, you'll be expected to support the Planning, Ordering and Distribution Manager Belgium. Your key responsibility will be to process incoming orders from new and existing fleet or B2B customers. You will be in close contact with the Sales Team in order to ensure orders are processed efficiently and effectively. You will also be in close contact with the leasing companies and our headquarters in Sweden to ensure timely and correct order processing. A second part of the job is to monitor, analyze, optimize and automate existing (order) processes within the Operations Team, to make our organization future proof.
See below for a more thorough breakdown of the various tasks and areas you'll be responsible for:
- Process incoming fleet orders daily (review, validation, and approval), sharing responsibility with the Sales Department for order processing speed and First Time Right (FTR) percentage.
- Establish, monitor and analyze relevant internal reports
- Organize and stimulate internal cross-departmental alignment for order processing
- Assess and improve current ordering processes for fleet and business orders
- Support the continuous training of internal and external stakeholders with regards to changes in the fleet ordering process
- Optimize current business processes with the ambition to strive for Operational Excellence, focusing on improving the quality and processing speed of incoming orders by providing support in finding the root cause of errors, and by providing support in the implementation of processes that mitigate and address these errors
- Prepare and maintain order processing dashboards, providing regular feedback to internal stakeholders when needed
- Support the Business Development Manager in implementing Sales Enablement processes affecting fleet order processing
- Prepare and update the order processing manual
